Advertiser Reconciliation

At the end of a billing period your advertiser sends a list of the conversions they accept. Upload it, see exactly where it differs from what AffClix tracked, and approve or reject the differences in bulk.

What Reconciliation Does

Open Advertisers → Reconciliation. AffClix matches each row of the advertiser's file to a conversion tracked here, compares status and amount, and sorts every conversion into a group. Nothing changes until you approve or reject.

Preparing the File

  • CSV or Excel (.csv, .tsv, .txt, .xlsx, .xls), up to 100,000 rows and 20 MB.
  • One row per conversion with an ID column: transaction ID, order ID, click ID or conversion ID.
  • A status column and an amount column are optional. Statuses are recognised in any wording — approved, valid or paid; rejected, declined or chargeback; pending or hold.

Download the Sample file from the page if your advertiser needs a template.

Running a Reconciliation

  1. Upload the advertiser's file

Click New reconciliation, choose the advertiser, optionally limit it to some campaigns, and set the conversion dates to the same period as the advertiser's report (last month by default).

  2. Check the columns

AffClix guesses which column is which from the headings. Confirm the ID column and what it matches, and optionally the status and amount columns. For amounts, choose whether to compare with revenue (advertiser price) or sale amount, and an allowed difference in percent.

  3. Decide what to do with conversions missing from the file

Suggest rejecting them if the file is the advertiser's complete list, or just list them if the file is partial — for example only the rejections.

  4. Click Compare

Tick Skip the column check on upload to go straight to the result when every column is recognised.

Reading the Result

GroupMeaning
To approveThe advertiser confirmed it; it is still pending or rejected here.
To rejectThe advertiser rejected it; it is still pending or approved here.
Missing from fileTracked here but not in the advertiser's file.
Needs reviewA conflict a person should decide, such as an unrecognised status.
Not in our dataIn the advertiser's file, with no matching conversion here.
MatchedBoth sides agree — nothing to do.

Rows whose amounts differ by more than your allowed difference are flagged Amount differs. IDs that converted outside the selected dates are still found and marked as such. Repeated IDs and rows without an ID are skipped and counted at the top.

Approving and Rejecting

  • Select rows and click Approve or Reject, select a whole group, or click Apply all suggestions.
  • Approvals fire your affiliates' postbacks and refresh caps, exactly as if you had approved each conversion by hand.
  • Rows that fail are marked Failed — retry and can be applied again.
  • Download CSV gives you the result to send back to the advertiser.
Applied statuses are not undone by deleting

Deleting a reconciliation removes the comparison only. Conversions you already approved or rejected keep their new status.

Who Can Use It

Team members with permission to view conversion logs can run reconciliations. Approving or rejecting needs the conversion action permission, and amounts are visible only with permission to see advertiser price. Team members only see conversions for the advertisers and affiliates assigned to them.
